All walk leaders should familiarise themselves with the guidance  on the main Ramblers website.  This contains not only good-practice advice, but also a useful check list, and even a light-hearted piece designed to encourage new walk leaders to come forward.

Leaders should also be familiar with the following:

  • CAR WALKS : Offer to contribute to car driver’s expenses when accepting a lift.  The recommended calculation is 30p per mile for the return trip divided by the number of people in the car.  New walkers should initially share transport with at least two members.
  • FOOTWEAR : Before accepting a lift in a car please will passengers ensure that they are wearing clean footwear.  Ramblers are also requested to remove, or cover, their boots when entering a pub or visiting a church.
  • PUBLIC TRANSPORT : Check bus and train times and consider engineering works
  • BE PREPARED for inclement weather and mud.  Wear stout footwear and practical clothing
  • PETS : Dogs may be brought on walks provided they are closely controlled subject to acceptance of the walk Leader.
  • FOOD : Walks with a pub/picnic lunch description mean a choice of either.  Please do not consume own food on pub premises without prior permission by the publican.

Brighton and Hove Ramblers – Policy for claiming Pre walk Expenses

The following guidance is based on the Ramblers Association document 'Volunteer Expenses FIN014' which is available on the RA website.

To ensure that Brighton and Hove Ramblers walks are safe, walks leaders often carry out a pre-walk, for which they may incur out-of-pocket expenses. Although we would like to be able to reimburse all such expenses, unfortunately we do not have sufficient funds available to do this. In practice, the vast majority of our walks leaders do not claim any expenses incurred in carrying out pre-walks, and we are very grateful for this. However, we recognise that some walk leaders may not be able to afford to pay their own pre walk costs and in these cases reasonable expenses may be claimed. We would not expect volunteers to have to provide evidence of their financial circumstances and as such, there is an element of trust in the individual concerned.

Claiming pre walk expenses

The points below should be followed when submitting claims:

Walk leaders who are planning to claim pre walk expenses should discuss this with a committee member before incurring any costs.

Only one pre walk expense claim per route is allowed for each leader, unless sufficient time has passed since the last pre walk of that route to warrant another.

When organising coach trips or holidays pre walk expenses should be factored into the price or claimed from the participants.

A claim form (http://bahr.org.uk/page/leaders) should be completed and returned to the Treasurer.

Expenses should be backed up by receipts or other documentation where possible.

In general, claims should be made within 3 months of the expense.

What can be claimed

Only return travel to the proposed walk can be claimed.

Fuel can be claimed at 30p per mile up to a limit of 50 miles radius of Brighton and Hove.

Public transport costs can be claimed up to the maximum of £30.

No meals or accommodation can be claimed.
